Wedding venues on Instagram: turn "is our date free?" into viewings

Couples find wedding venues on Instagram long before they visit one. They save your photos, watch the reels from last summer's weddings and then message: "is the 14th of June next year free, and how much for 90 guests?". Those first questions are mostly about dates, capacity and price, and they often arrive in the evening when your events team has gone home or is running a wedding. An AI agent can answer from your availability and price guide, book a viewing, and leave quotes, contracts and deposits to your team. This playbook covers the note to write, the replies that work, what must always go to a person, and how to stay inside Instagram's limits.

Why couples start in the DMs

For many couples, a venue's Instagram feels more honest than its brochure. They can see real weddings, real weather and real guests, and they message the account because it feels like talking to the people who run the place. The first message is often short and hopeful: is our date free?

Couples usually contact several venues in the same evening and book viewings with the ones that answer clearly. A venue that replies the next afternoon with "please email us for a brochure" can lose out to one that replied in minutes with a date, a price range and a viewing slot. An AI agent gives that fast first answer, and your team takes over when the conversation turns into a proposal.

What customers ask on Instagram

  • Is Saturday the 14th of June next year still available?
  • How much is it for 90 day guests and 120 in the evening?
  • Can we have the ceremony outside, and what happens if it rains?
  • Do you have a list of suppliers, or can we bring our own caterer?
  • Is there accommodation on site for the wedding party?
  • Can we come and look around, and are there open days?
  • What time does the music have to finish?
  • Do you do weekday or winter discounts?

WhoMessage
SophieHi! We are getting married next summer and love your barn. Is the 14th of June free? Around 90 guests.
AI agentCongratulations! The 14th of June is showing as available at the moment. The barn seats up to 120 for dinner, so 90 is a comfortable fit. Saturday packages in June start from £9,500 for 90 day guests. Would you like to come for a viewing?
SophieYes please! Could we come on a weekend?
AI agentThis Saturday at 11am or Sunday at 2pm are free for viewings with Hannah, our wedding coordinator. Which would suit you?
SophieSunday at 2 please. Can you hold the date for us?
AI agentBooked: Sunday at 2pm with Hannah. Hannah handles date holds, so I have passed that request to her and she will reply here tomorrow morning with how a hold works.
HannahHi Sophie, lovely to hear from you. I can place a provisional hold on the 14th until your viewing, and I will bring a full quote for 90 guests on Sunday. See you then!

What the agent answers

  • Whether a date is showing as free, from the availability you share with it.
  • Capacity for the ceremony, dinner and evening, room by room.
  • Price ranges from your price guide, by season and day of the week.
  • Booking viewings and open-day places into your team's diary.
  • Practical questions: parking, accommodation, finish times, wet-weather plans and accessibility.
  • Sending your brochure or price guide when the couple asks for it.

What it always hands to you

  • Date holds, quotes and anything that commits a date to a couple.
  • Contracts, deposits, payment plans and cancellation terms.
  • Requests outside your packages, such as a different caterer or a later finish.
  • Complaints, disputes and any couple who is upset.
  • Supplier questions you have not written into the note.
  • Anything about a wedding that is already booked, which goes to that couple's coordinator.

Why the first answer matters more than the follow-up

Instagram is built for answering people who message you. Instagram also only lets you message someone who has not replied inside its messaging window, so chasing a couple who went quiet weeks ago is not really possible there. That makes the first reply the one that counts. Give a clear answer on the date, the capacity and a price range, and offer a viewing in the same message. If a couple shares an email address, your team can follow up with the full proposal there.

The Instagram limits that matter here

LimitSpaces limit per Instagram account

Gap between messagesAt least 15 seconds
New conversations you start6 an hour, 20 a day

Instagram only lets you message someone who has not replied inside its messaging window, so replies in existing chats work best.

Set it up in an afternoon

  1. Write a note: rooms and capacities, packages and price ranges by season, viewing times, what is included, and what always goes to the team. There is an example below.
  2. Connect your venue's Instagram account in Spaces. You sign in to Instagram through a secure link and approve the connection. The account then shows as connected in your dashboard.
  3. Connect your AI agent, such as Claude or ChatGPT, using the steps for your client on our agents page. Give it the note and access to your availability and viewing diary if it can reach them.
  4. Tell it to say a date is "showing as available" rather than promising it, and to pass every hold request to a coordinator.
  5. If you only want replies at certain times, tell the agent in its notes when to answer. During a busy wedding weekend you can also pause sending in Spaces and let the team catch up on Monday.
  6. Read the first two weeks of conversations, because wedding questions vary more than most, and add what you learn to the note.

The note your agent works from

Venues get the best results from a note that separates what is fixed from what changes. Rooms and capacities rarely change, prices change each season, and availability changes every week. Here is an example you can adapt.

VENUE NOTE (example)

Spaces
- Barn: up to 120 seated dinner, 180 in the evening.
- Walled garden: outdoor ceremonies up to 120. Wet-weather plan: the barn.
- Cottage: sleeps 10, included with Saturday packages.

Price ranges (for 90 day guests)
- Saturdays, May to September: from £9,500
- Fridays and Sundays, May to September: from £7,500
- October to April, any day: from £6,000

Viewings: Saturdays 11am, Sundays 2pm, weekdays by arrangement.
Open day: first Sunday of each month, 10am to 2pm.
Music: amplified music ends at 11.30pm. Carriages at midnight.

Always say "showing as available", never "yours".
Always hand to Hannah: holds, quotes, contracts, deposits, custom
requests, complaints, and any couple who has already booked.

Tone: warm and excited for them, but never pushy.

Keep prices as ranges with "from" in front, and let your coordinator give exact quotes. Couples remember the first number they hear, so it should be one your team is happy to stand behind.

A second example: a request outside the package

Here a couple asks for something the note does not cover. The agent collects the details and hands over, rather than guessing a yes or a no. Names and details are examples.

WhoMessage
MarcusHi, we have a friend who is a chef and would love to cater the wedding himself. Is that allowed?
AI agentThanks for asking, Marcus. Outside catering is decided case by case, so I have passed your question to Hannah, our wedding coordinator. Could you tell me your date and rough guest numbers so she has the full picture?
MarcusThe 6th of September, about 70 people.
AI agentThank you. Hannah will reply here tomorrow with what is possible and any costs involved.
HannahHi Marcus, we can usually allow an outside caterer for a kitchen fee, as long as they have the right insurance and hygiene rating. Would you like to bring your friend to the viewing so he can see the kitchen?

The agent did not invent a policy or a fee. It asked for the two facts a coordinator needs, and Hannah could reply with a real answer and a reason to visit.

Before and after: replies that lead to viewings

Instead ofTry
Please email us for a brochure. The 14th is showing as available. June Saturdays start from £9,500 for 90 guests. Would you like to come for a viewing this weekend?
Prices on request.Packages for 90 guests range from £6,000 in winter to £9,500 on a summer Saturday. I can send you the full price guide here.
Sorry, that date is gone. The 14th is booked, but the 13th and the 21st are showing as available, and Fridays in June start from £7,500. Would either of those work?

The better replies answer the question, give a range the couple can plan around and offer a next step. A viewing is where your team does its best work, so every reply should make one easy to book.

Common mistakes venues make

  • Letting the agent promise a date. Two couples asking about the same Saturday is common, so only your team should place holds.
  • Giving the agent an old price guide. A price quoted in the DMs will be screenshotted and brought to the viewing.
  • Answering with "email us" and nothing else. Give the answer in the chat first, then offer the brochure.
  • Treating booked couples like new enquiries. Tell the agent to hand any message from a booked couple to their coordinator.
  • Messaging people who liked or commented on a post without asking anything. That is the kind of activity Instagram restricts, and couples find it pushy.

What if...?

IfTell the agent to
Two couples ask about the same dateSay the date is showing as available to both, book viewings, and tell the coordinator so she can manage holds.
A couple asks for a discountMention any published offers from the note, such as winter or weekday prices, and hand over anything else.
A guest messages about a wedding they are attendingAnswer practical questions such as parking from the note, and pass anything about the couple's plans to the coordinator.
A couple wants to visit outside viewing timesCollect two or three times that suit them and hand over to the team.
A message arrives during a weddingAnswer as normal, and say the team will follow up on anything else within a day or two.

Comments, stories and open days

Reels of real weddings bring comments such as "how much?" and "is this place available next year?". The agent can reply briefly and send the person a DM with a price range and the next open day, where Instagram allows a private reply from a comment. Spaces keeps comment replies to their own lower limits, so busy posts never get flooded.

Who you message

In short

For a wedding venue, the AI agent's job is the first answer. Tell couples whether their date is showing as available, what it might cost and when they can come and see it. Hand holds, quotes, contracts and anything unusual to your coordinator, and read the chats closely for the first two weeks.

Spaces paces every message and keeps the account inside its limits, but no tool can promise Instagram will never restrict an account. Keep the agent to replies and genuine enquiries, and let your team do the selling at the viewing.

FAQ

Can the agent see our availability?

It can if your AI agent already connects to the calendar or booking system you use. Spaces handles the Instagram side. If it cannot reach your diary, give it a list of free dates in the note and update it each week.

Can it place a provisional hold on a date?

It is safer to leave holds to your team, because two couples often ask about the same Saturday. Tell the agent to say the date is showing as available and to pass hold requests to a coordinator.

Can it send our brochure?

Yes, if you give it the brochure or a link to it. It works best after the agent has answered the couple's question, so the brochure adds detail rather than replacing the answer.

Will it follow up with couples who go quiet?

Instagram only lets you message someone who has not replied inside its messaging window, so long follow-ups are not really possible there. Ask for an email address during the chat, and let your team follow up with the proposal by email.

Can it reply to comments on our reels?

It can answer simple questions briefly and, where Instagram allows it, send the commenter a private reply in the DMs. Spaces keeps comment replies to their own lower limits.

What about couples who have already booked?

Tell the agent to recognise them and hand their messages to their coordinator. Booked couples want to hear from the person planning their day, not a general reply.

Should it say it is an AI?

That is your choice. Many venues say so in the first reply, with a line such as "I am the venue's AI agent, Hannah will follow up with your quote". It sets expectations and makes the handover feel natural.

What if it quotes the wrong price?

Step into the chat, correct it kindly and honour what is fair. Then fix the note so it does not happen again. Reading the first fortnight of chats catches most of these early.
