What to message after a no-show or late cancellation

Missed appointments cost salons, clinics, studios and trades real money, but a cold "you will be charged" message often loses the customer for good. The right messages before and after cut no-shows and keep people coming back. This guide gives you a simple timeline of messages, replies for each situation, a worked example, a plain-words policy to give your AI agent, and the mistakes that turn a missed booking into a lost customer.

The short answer

Send a reminder the day before with an easy way to move the booking. After a no-show, send one friendly message that offers a new time and states your policy plainly. Apply any fee consistently, and let a person decide exceptions.

WhenReply
Reminder, day beforeHi Amy, a reminder of your appointment tomorrow at 2pm with Jess. If you need to move it, just reply here.
Late cancellationThanks for letting us know. As it is within 24 hours, our policy is a £15 charge, but I can waive it if you rebook this week. Would Friday at 10 work?
No-showHi Amy, we missed you today at 2pm. I hope everything is OK. Would you like to rebook? I have Thursday at 11 or Saturday at 3.
Repeat no-showWe have missed you at your last two bookings. To keep the slot, we now ask for a £10 deposit when you book. Would you like a time next week?
Reminder, a week aheadHi Leon, just a note that your colour appointment is next Saturday at 10am. It takes about three hours. Reply here if you need to change it.
Cancellation in good timeThanks for letting us know in good time. No charge at all. Would you like to pick a new date now, or message us when you are ready?
They say they forgotNo problem, it happens. I have Wednesday at 5pm or Friday at 9am. Shall I book one of those and send you a reminder the day before?
They mention an emergencyI am so sorry to hear that, and please do not worry about today. Let me know whenever you are ready to rebook.
Asking for a deposit at bookingYou are booked for Tuesday at 3pm. For appointments over an hour we take a £20 deposit, which comes off the final price. Here is the link to pay: [link]

What to avoid

  • Opening with the fee before checking the customer is OK.
  • Sending several chasing messages in a row.
  • Charging some customers and not others without a reason.
  • Reminders with no way to cancel or move the booking.

What to tell your AI agent

  • Let it send reminders to customers with a booking, the day before.
  • Give it your cancellation policy in plain words.
  • Tell it to offer rebooking slots before mentioning any fee.
  • Tell it never to waive or charge a fee without your approval.

When a person should take over

  • Fees, deposits and exceptions.
  • Customers who mention illness, bereavement or an emergency.
  • Disputes about whether a cancellation was in time.

A simple message timeline

Most no-shows are people who forgot, not people who do not care. A few well-timed messages solve most of the problem. This timeline works for most appointment businesses.

A worked example

Here is a WhatsApp conversation for a physiotherapy clinic. The reminder goes out automatically the day before, and the AI agent handles the reply. Names and details are examples.

WhoMessage
Clinic, Monday 10amHi Dan, a reminder of your appointment tomorrow at 9am with Rachel. If you need to move it, just reply here.
Customer, Monday 6pmAh I completely forgot I have a work thing tomorrow. Can I move it?
AI agentThanks for letting us know today, so there is no charge. Rachel has Wednesday at 8am or Thursday at 5.30pm. Would either work?
CustomerThursday 5.30 please
AI agentDone. You are booked with Rachel on Thursday at 5.30pm. We will send a reminder the day before.

Without the reminder, Dan would probably have missed the appointment and Rachel would have had an empty hour. With it, the slot was freed a day early and Dan rebooked straight away.

Write your policy in plain words

Customers accept a policy they were told about in advance and that is applied fairly. Write it down once, share it at booking, and give the same wording to your AI agent.

Cancellation notes for the AI agent

- Cancel or move more than 24 hours before: no charge.
- Cancel within 24 hours: £15 charge. A person may waive it if the customer rebooks within 7 days.
- No-show: send one friendly message, offer two times, mention the policy only if they reply.
- Second no-show in 3 months: a person asks for a £10 deposit on future bookings.
- Illness, bereavement or emergency: no charge, no questions. Tell Jess.

Always:
- Offer new times before mentioning any fee.
- Never charge or waive a fee yourself. Pass it to Jess with the booking details.
- Send no more than one message after a no-show unless the customer replies.

How the messages can go out automatically

You do not need an AI agent for every message. Spaces can schedule a message for a set time and run routines that send set replies when something happens, such as a keyword or no reply after a number of hours. Routines send the wording you give them; they do not think for themselves.

A sensible split is to let scheduled messages or routines send reminders, and let your AI agent handle the replies, such as a customer asking to move a booking. Every message, scheduled or not, goes through the same Spaces limits as a normal message.

Reminders work best in the chat where the customer booked, because that is a conversation they started. Starting brand-new chats is held to tighter limits: on WhatsApp, Spaces allows 10 new chats a day once an account is fully warmed up, and fewer in the first weeks.

By type of business

BusinessWhat tends to work
Salons and barbersA reminder the day before and a short window to cancel, such as 24 hours.
Clinics and therapistsA reminder the day before, a kind tone after a missed appointment, and care around health reasons.
Tutors and coachesA reminder to the parent or student, and a clear rule for missed lessons in a block.
Trades and home servicesA reminder the evening before with the arrival window, and a request to reply if no one will be home.
Studios and classesA reminder for paid one-off classes, and a simple rule for late cancellations in a pack.

If this happens, do this

If the customerDo this
Replies to a reminder to cancelThank them and offer two new times straight away.
Says the reminder never arrivedCheck the number or account you have for them, and waive the fee the first time.
Turns up lateDo what you can in the time left, and explain kindly if the full service will not fit.
Argues about the feePass it to a person, who can look at the booking history and decide.
Has missed three or more bookingsA person should decide whether to ask for full payment upfront.

Common mistakes

  • Not telling people the policy when they book, then surprising them with a charge.
  • Sending reminders that sound like warnings.
  • Messaging people who never booked or contacted you, which is cold messaging and breaks most platform rules.
  • Letting reminders keep going to someone who has cancelled.
  • Forgetting that a quick rebooking matters more to your income than a fee.

Sum up and next step

Remind people the day before, make moving a booking easy, and after a no-show send one friendly message with two new times. Keep your policy short, share it at booking and let a person decide every fee and exception.

With Spaces, reminders can go out on a schedule in the chat where the customer booked, and your AI agent can handle the replies while you work.

FAQ

Can an AI agent send appointment reminders?

Yes, to customers who booked with you, within each channel's rules and Spaces' limits. It should not message people who never contacted you. A scheduled message or a routine can also send reminders without an AI agent.

How far ahead should I send a reminder?

The day before works for most businesses. Add one a week ahead for long or expensive appointments. Send it at a sensible time of day, not late at night.

Should I charge for no-shows?

That is your call. If you do, state it when people book and apply it consistently. Many businesses waive the first missed booking if the customer rebooks.

What should a no-show message say?

Say you missed them, ask if everything is OK, and offer two new times. Mention your policy only if needed, and in plain words.

Should I ask for deposits?

Deposits work well for long appointments and for customers who have missed bookings before. Say clearly how much it is, whether it comes off the final price and when it is refundable.

How many messages should I send after a no-show?

One, unless the customer replies. Several chasing messages feel like pressure and rarely bring people back.

What if a customer says they were ill?

Be kind and do not ask for proof. Waive the fee and offer to rebook when they are ready. Customers remember how you treated them when things were hard.
