How to ask customers for a review on WhatsApp

Most happy customers will leave a review if someone asks at the right moment, in a personal way, with one link. Most never do because nobody asked. Here is how to ask without becoming a nuisance or breaking the rules: the best moment for each type of business, messages for every situation, a worked example, and how to let an AI agent send one request at a time rather than a blast to everyone.

The short answer

Ask once, soon after a good experience, in a personal message to that one customer, with a single link. Never pay or reward people for reviews, never ask only happy customers on sites that forbid it, and never send review requests in bulk.

Replies you can adapt

Change the details to match your business. Names, prices and times are examples.

WhenReply
After a finished jobThanks again for choosing us, Ben. If you were happy with the new bathroom, a short review would really help a small business like ours: [link]
After a good conversationSo glad the dress fits perfectly! If you have a minute, we would love a review: [link]. Thank you!
They agree but forgetNo pressure at all. Here is the link again in case it is handy: [link]
They had a problemThank you for telling us. I would rather put it right first. Could you tell me what happened?
A regular customerHi Maria, thank you for coming to us for so long. We are trying to get more reviews this year, and one from you would mean a lot: [link]
They tagged you on InstagramThank you so much for sharing this! If you have a moment, a review would help other people find us too: [link]
By email after a projectThank you for working with us on the new website. If you were happy with the result, a short review would help us a great deal. Here is the link: [link]
They have left a reviewThank you so much for the lovely review, Ben. It really helps. We hope to see you again soon.
They ask what to writeAnything you like, in your own words. Even a sentence about what we did is really helpful. Thank you!

What to avoid

  • Offering discounts or gifts in return for reviews. Most review sites forbid it.
  • Asking more than twice.
  • Sending the same request to your whole contact list at once.
  • Telling people what to write or how many stars to give.

What to tell your AI agent

  • Let it send one personal request to a customer after a completed job or purchase you confirm.
  • Give it your review link and the exact wording.
  • Tell it to send at most one reminder, and only if the customer said yes.
  • Tell it to hand any complaint to you instead of asking for a review.

When a person should take over

  • Customers who had a problem.
  • Replies to negative reviews on the review site.
  • Anyone who asks for something in return.

The best moment to ask, by type of business

The right moment is when the customer has just felt the benefit of what you did. Ask too early and they have nothing to say. Ask too late and the feeling has faded.

BusinessA good moment to ask
Salons and barbersThe same day, after they say they love the result.
Trades and home servicesThe day after the job, once they have used the new kitchen, boiler or bathroom.
Online shopsA few days after delivery, once they have tried the item.
Restaurants and cafesAfter a guest thanks you in the chat, or the day after a booked event.
Tutors and coachesAfter a milestone, such as an exam result or a finished course.
Clinics and therapistsAfter a course of treatment ends, and only if the patient has said they are happy.

A worked example

This WhatsApp conversation is for a small plumbing business. The owner marks the job as finished, and the AI agent sends one request the next day. Names and details are examples.

WhoMessage
Business, Wednesday 11amHi Ben, it is Kev from Clearflow. I hope the new shower is working well. If you were happy with the job, a short review would really help a small business like ours: [link]
CustomerShower is brilliant, thanks. I will do it tonight.
BusinessThank you, Ben. Shout if you ever need anything else.
Business, Friday 11amNo pressure at all, Ben. Here is the review link again in case it is handy: [link]
CustomerDone! Sorry for the wait.
BusinessThank you so much, it really helps.

One request, one reminder because Ben said yes, then nothing more. If Ben had not replied to the first message, the agent would have left it there.

One at a time, not a broadcast

It is tempting to send a review request to everyone in your phone at once. On your own WhatsApp account that is exactly the kind of bulk messaging WhatsApp's terms prohibit, and it can get the number restricted. It also works badly, because a message sent to everyone feels like it was sent to no one.

Spaces is built for one-to-one messages. It refuses the same cold text sent to many people, waits at least 15 seconds between WhatsApp messages and keeps an account to 200 messages a day. A review request to a customer you have just served, in the chat you already have, is the kind of message that fits.

Notes to give your AI agent

Review requests

Send a request only when:
- I have marked the job or order as finished, and
- the customer has not complained.

Wording:
"Hi [first name], it is Kev from Clearflow. I hope [the job] is working well. If you were happy with the job, a short review would really help a small business like ours: [link]"

Rules:
- Send it the day after the job, between 10am and 6pm.
- One request per customer. One reminder two days later only if they said yes.
- Never offer anything in return for a review.
- Never suggest what to write or how many stars.
- If they mention any problem, do not ask for a review. Pass the chat to Kev.

When the review is not good

Sometimes you will ask and get a review you did not want. Reply on the review site once, calmly and briefly, as a person. Thank them, say sorry for the experience and invite them to get in touch so you can put it right.

Do not argue in public or share details about the customer. Other people reading the review will judge you on your reply as much as on the complaint itself.

Common mistakes

  • Sending a long message with three links to different review sites. Pick one.
  • Asking before the job is finished or the order has arrived.
  • Using a link that goes to your home page instead of the review page.
  • Asking customers who have just complained.
  • Thanking people with a discount after they review, which can count as an incentive.

A quick checklist before you send

  • The job is finished or the order has arrived, and the customer seems happy.
  • The message uses their name and mentions what you did for them.
  • There is one link, and it opens the review page directly on a phone.
  • Nothing is offered in return, and nothing suggests what to write.
  • It goes in the chat you already have with this customer, not to a list.
  • You know who will reply if the customer answers with a problem instead of a review.

Sum up and next step

Ask each customer once, soon after a good experience, with one link and in your own words. Send one reminder only if they said yes, never offer anything in return, and never send requests in bulk.

With Spaces, your AI agent can send these one-to-one requests in the chats you already have, inside safe limits. Read the WhatsApp notes above before you connect a number.

FAQ

Can I send review requests to all my customers at once?

Not on WhatsApp. Its terms prohibit bulk and automated messaging. Send them one at a time to recent customers, in the chat you already have with them.

Can I offer a discount for a review?

Most review sites, including Google, do not allow incentives for reviews. Ask without offering anything, and thank people warmly instead.

When is the best time to ask?

Soon after the customer says they are happy, while the experience is fresh. For a product, give them a few days to use it first.

How many times can I ask?

Once, plus one reminder if they said they would. More than that feels like pressure and can annoy good customers.

Should I ask on WhatsApp or by email?

Use the channel where you were already talking. A request in the same WhatsApp chat feels personal, while an email suits customers you mostly dealt with by email.

Can an AI agent decide who to ask?

It is safer for you to mark which jobs are finished and which customers are happy. The agent then sends the request and handles the replies, and passes anyone with a problem back to you.

What if a customer replies with a complaint instead?

Stop asking for a review and deal with the problem first. Thank them for telling you, ask what happened and pass it to a person. Once it is fixed, you can decide whether asking again would feel right.

Should I reply to every review?

Replying to reviews shows you care, especially the critical ones. Keep replies short and personal, and write them yourself rather than leaving them to an agent.
