Travel agents on WhatsApp: answer travellers fast, keep bookings and money with people
Travellers message their travel agent from airports, hotel lobbies and beach bars, often in a different time zone from your office. Most of what they ask is already in the itinerary: what time is my transfer, which terminal, is breakfast included. An AI agent can answer those from the trip details you give it, on your own WhatsApp number, at any hour. Bookings, changes, cancellations and payments always go to a person on your team. This playbook covers the notes to write, the replies that work, the emergency wording to prepare and the limits that keep the number safe.
Why travellers message instead of emailing
On the move, WhatsApp is the easiest way to reach anyone. It works on hotel wifi, it keeps the conversation in one place, and travellers can send a photo of a confusing sign or a screenshot of a delayed flight. Many already used it to talk to you while they were planning the trip.
The difficulty is time. A family landing at 6am local time wants to know where the transfer driver is waiting, and your office opens hours later. An AI agent can answer from the itinerary straight away, and pass anything that needs a decision to a consultant.
Where the line sits: bookings and money stay with people
The agent reads the trip. It does not change it. Booking, amending, cancelling, taking payment and agreeing refunds all go to a person, because they involve suppliers, prices that move and money the traveller has trusted you with.
The agent can still help with those messages. It can collect what the consultant needs, say who will reply and roughly when, and keep the traveller calm. What it never does is promise a change, quote a new price or take card details in the chat.
What customers ask on WhatsApp
- What time is our transfer from the airport, and where do we meet the driver?
- Is breakfast included at the hotel in Lisbon?
- Which terminal does our flight leave from?
- What is the luggage allowance on the internal flight?
- Can we add an extra night at the end of the trip?
- Our flight has been delayed, what happens to the transfer?
- When is the balance due, and how do I pay it?
- Do we need a visa for Vietnam?
An example conversation
This illustration shows a traveller on the first morning of a trip, before the office opens. Names and details are examples.
| Who | Message |
|---|---|
| Lena | Morning! Just landed in Lisbon. Where do we meet the transfer? |
| AI agent | Welcome to Lisbon, Lena. Your driver from Sol Transfers will wait in the arrivals hall, by the café, holding a sign with your name. Their number is +351 210 000 000 if you can't see them. |
| Lena | Great, found him. Also, could we add a night at the end in Porto? |
| AI agent | Lovely idea. Changes to the trip are arranged by your consultant, Marta, so I have passed this to her with your dates. She will reply when the office opens at 9am UK time, with options and prices. Nothing changes until you have agreed them with her. |
| Lena | Perfect, thanks |
| Marta | Morning Lena! I have two hotels in Porto with rooms on the 18th. Sending details now. |
What the agent answers
- Times, places and contacts from the itinerary: flights, transfers, hotels and tours.
- What is included in each part of the trip, from the booking details you give it.
- Luggage allowances, check-in times and meeting points, as written in the booking.
- Your office hours, in the traveller's time zone as well as yours.
- Collecting the details a consultant needs for a change or a new enquiry.
- Pre-departure reminders to booked travellers, with the documents checklist you write.
What it always hands to you
- New bookings, changes, extensions, upgrades and cancellations.
- Payments, balances, refunds and anything involving card or bank details.
- Emergencies abroad: the agent sends your emergency wording and flags the chat at once.
- Visa, passport and health entry questions, which travellers should check with official sources and a consultant.
- Complaints about a hotel, a supplier or the trip.
- Insurance claims and lost or stolen documents.
Keep each traveller's trip details in one place
The agent can only answer "what time is my transfer?" if it can see that traveller's itinerary. Give it a general agency note, plus the trip details for each booking, kept wherever your agent can read them. Update them when anything changes, so it never sends a traveller to the wrong terminal. If a detail is missing, it should say a consultant will confirm rather than guess.
The WhatsApp limits that matter here
| Limit | Spaces limit per WhatsApp account |
|---|---|
| Messages | Up to 200 a day |
| Gap between messages | At least 15 seconds |
| New conversations you start | 5 an hour, 10 a day |
Replies to people who message you are not held back by the warm-up, so customers get answers from the first day.
Set it up in an afternoon
- Write an agency note: office hours with time zones, how changes and payments work, the emergency wording, and what the agent never does. There is an example below.
- Decide where each trip's details live so your agent can read them, such as a shared folder or your booking system if your agent connects to it.
- Connect your agency's WhatsApp number in Spaces. You scan a QR code with the phone that has the number, the same way you would link WhatsApp on a computer. The phone keeps working as normal afterwards.
- Connect your AI agent using the steps for your client on our agents page, and give it the note.
- Agree who picks up handed-over chats, including at weekends and when travellers are away in very different time zones.
- Decide when the agent answers. Many agencies let it reply around the clock from itineraries. If you would rather it did not, tell it in its notes when to answer, or pause sending. Scheduled reminders and routines can carry working hours of their own.
- Read the first two weeks of conversations, and add anything it was unsure about to the note.
The agency note your agent works from
Keep the general note short and put the trip details for each booking alongside it. Here is an example of the general note.
AGENCY NOTE (example)
Office: Mon to Fri 9am to 6pm, Sat 10am to 2pm, UK time.
Always give office hours in the traveller's local time too.
You can answer from the trip details: times, meeting points,
supplier contacts, what is included, luggage, check-in times.
If a detail is missing, say a consultant will confirm. Never guess.
Always hand to the consultant on the booking:
- new bookings, changes, extra nights, upgrades, cancellations
- payments, balances, refunds. Never take card details in the chat.
- visas, passports and entry rules. Say: 'Please check the official
government travel advice for your destination, and your consultant
will help.'
- complaints, insurance, lost documents
EMERGENCY WORDING (say exactly this, then flag at once):
'I have flagged this to our team now. For urgent help, call our
24-hour line on +44 1234 567890. If anyone is in danger or needs
medical help, call the local emergency number first.'
Tone: warm, short, use first names.Emergencies abroad
Most trips run smoothly, but now and then a traveller messages from a hospital, a police station or a cancelled flight with nowhere to sleep. The agent should not try to solve these. It should send your emergency wording, word for word, and flag the chat to whoever is on call.
Write that wording yourself, with your 24-hour number if you have one, and tell travellers to contact local emergency services first if anyone is in danger. If you do not run a 24-hour line, say so honestly and give the supplier or insurer contacts from the booking instead. A clear, honest answer at 2am is far better than a reassuring one that leaves the traveller waiting.
A second example: a new enquiry
New trips are where the money is, and also where a person matters most. The agent's job is to gather the basics and book a call. Names and details are examples.
| Who | Message |
|---|---|
| Omar | Hi, we're thinking about a two-week trip to Japan next April for our anniversary. Can you help, and roughly what does it cost? |
| AI agent | Congratulations, Omar, Japan in April is beautiful. Our consultants plan every trip to order, so the price depends on the hotels and route you choose. Could you tell me how many are travelling, your rough dates and the kind of trip you have in mind? |
| Omar | Just the two of us, around 5 to 19 April. Tokyo, Kyoto, something special for one night. |
| AI agent | Thank you. I have passed this to Hana, who plans our Japan trips. She can call you on Tuesday at 10 or Wednesday at 4 to talk it through. Which suits you? |
The agent did not quote a price it could not stand behind or start building an itinerary. It collected the basics and booked a call, so Hana starts the conversation already knowing what the couple want.
Reminders before departure
A short message a few days before a trip is one most travellers welcome: flight times, the transfer meeting point and a reminder to check passports and travel insurance. Spaces can schedule a message for a set time in the traveller's time zone, and a routine can send a set reply you wrote when something happens. Routines send your words; they are not an AI.
Keep reminders to travellers who have booked with you, one or two per trip. If someone replies stop, Spaces refuses any further message to them in that chat.
What if...?
| If | Tell the agent to |
|---|---|
| A flight is delayed | Share the transfer company's contact from the booking, and flag the chat so a consultant can tell the supplier. |
| A traveller wants to change a hotel | Collect the dates and what they would like, and hand it to the consultant. Promise nothing. |
| A traveller asks to pay the balance in the chat | Say a consultant will send the usual secure payment link, and never take card details. |
| Someone asks about visas or vaccinations | Point them to official government travel advice and hand over to the consultant. |
| A traveller is unwell or in trouble | Send the emergency wording exactly and flag the chat at once. |
Common mistakes
- Letting the agent confirm changes. Hotels and flights have prices and rules that move, so a consultant must agree every change.
- Out-of-date trip details. Update them the moment a supplier changes a time, or the agent will repeat the old one.
- Answering visa questions from memory. Entry rules change, so always point travellers to official sources and a consultant.
- Taking card details in the chat. Use your usual secure payment method and say so in the note.
Who you message
In short
For a travel agent, an AI agent on WhatsApp is a round-the-clock helper that knows every itinerary. It answers transfer times, meeting points and what is included, and gathers the details for new trips and changes. Bookings, changes, payments and emergencies always go to a person on your team.
Write the agency note and the emergency wording, give the agent each trip's details, and read the first two weeks of chats. Spaces paces every message and keeps the number inside safe limits, but no tool can promise WhatsApp will never restrict an account, so keep the agent to travellers who message you or expect to hear from you.

FAQ
Can the agent make or change bookings?
It should not. Bookings, changes and cancellations go to a consultant, who checks prices and supplier rules. The agent collects the details and tells the traveller who will reply and when.
Can it take payments?
Keep payments with your team and your usual secure payment method. The agent should never ask for or accept card details in a chat. It can tell travellers when a balance is due and say a consultant will send the payment link.
What about travellers in very different time zones?
That is where the agent helps most, because it can answer from the itinerary at any hour. Give your office hours in its note and tell it to quote them in the traveller's local time, so they know when a consultant will reply.
Can it answer visa and entry questions?
It should point travellers to official government travel advice and hand the question to a consultant. Entry rules change and the stakes are high, so the agent should never give its own answer.
What happens in an emergency abroad?
The agent sends the emergency wording you wrote and flags the chat to whoever is on call. Tell travellers to contact local emergency services first if anyone is in danger. Make sure your emergency number is also in their travel documents.
Can it send reminders before a trip?
Yes, to travellers who have booked, as scheduled messages within Spaces' limits. A short note with flight times, the meeting point and a passport check works well. If someone replies stop, the reminders stop.
Can consultants still use WhatsApp on the agency phone?
Yes. The number stays yours and the phone works as normal. When a consultant takes over a chat, the agent stays out of it until it is handed back.
Can it start conversations with past customers?
Spaces limits new chats on WhatsApp, at 5 an hour and 10 a day, with a slower start for new numbers. It suits travellers who expect to hear from you, not offers sent to old lists, which is the kind of activity WhatsApp restricts.
