How to answer customer emails with an AI agent
Email is still where many customers send quotes, questions and complaints. An AI agent can read those emails and reply on the same thread, from the address your customers already know. Here is how it works with Spaces.
Your own mailbox
You sign in to Gmail or Outlook through a secure link, or enter your mail server details for any other mailbox. Replies go from your address and land in the same thread, so the customer sees a normal reply from you.
What the agent can do
- Read new emails and their attachments.
- Reply on the thread the customer started.
- Save a draft for you to check and send yourself.
- Send one email to one person, such as a quote someone asked for.
One email at a time
Spaces sends one email at a time to one person and is not a tool for newsletters or campaigns. It has no bulk sending, no bcc and no tracking, and it refuses a reply to anyone who has asked not to be emailed.
Every mailbox has limits: at least 30 seconds between emails, up to 80 a day and at most 40 new threads a day, with 20 a day in the first week. Replies on a thread someone started are not held back by the warm-up.
Start with drafts
For the first week, ask the agent to save its replies as drafts. You read them, fix anything that is off, and send. Once you trust the answers, let it reply to routine emails on its own and keep drafts for anything sensitive.
