Gmail and Outlook sending limits for AI agents
If your AI agent answers customer emails from your own Gmail or Outlook mailbox, it needs to stay well below the provider's hard limits to keep your mailbox in good standing. Here are the official limits, what is recommended in practice, and what Spaces enforces.
The official limits
| Mailbox | Official daily limit |
|---|---|
| Gmail | Up to 500 emails a day |
| Google Workspace | Up to 2,000 emails a day |
| Microsoft 365 (Outlook) | 5,000 recipients a day, 500 recipients per message, 1,000 new recipients a day |
What is safe in practice
- Gmail: 50 to 100 emails a day, or up to 150 when replies and bounces are healthy.
- Google Workspace: 100 to 150 a day, or up to 300 with a good record.
- A new mailbox: start at 20 to 50 a day and build up.
- Outlook and other mailboxes: follow the same recommendations as Gmail.
- Spread emails over the day instead of sending them in bursts.
The limits Spaces enforces
Spaces sends one email at a time to one person, never bulk email: at most 80 emails a day per mailbox, at least 30 seconds apart, and 40 new threads a day (20 in the first week). Replies on a thread someone started are not held back.
