Estate agents on WhatsApp: book the viewing before another agent does
A buyer who sees a listing at 9pm will message three agents. The one who answers first usually gets the viewing. An AI agent can reply on your office WhatsApp number in seconds, answer from the listing details and book a viewing slot, and pass offers and negotiation to a person.
What customers ask on WhatsApp
- Is the flat on Elm Road still available?
- Does it have parking, and what is the council tax band?
- Can I view it this weekend?
- Are pets allowed in the rental?
- What are the service charge and ground rent?
An example conversation
This illustration shows a late-evening enquiry about a two-bed flat. Names and details are examples.
| Who | Message |
|---|---|
| Priya | Hi, is the 2 bed on Elm Road still available? |
| AI agent | Yes, it is. It has an allocated parking space and is council tax band C. Would you like to view it? |
| Priya | Saturday if possible |
| AI agent | Saturday has 10:30 or 12:00 with Sam. Which suits you? |
| Priya | 10:30 |
| AI agent | Booked for 10:30 on Saturday with Sam. You will get the address and his number the day before. |
What the agent answers
- Whether a property is still available, from your live listings.
- Listing facts: rooms, parking, tax band, service charge, pets.
- Booking viewings into each negotiator's free slots.
- Asking buyers whether they have a mortgage in principle or a property to sell.
What it always hands to you
- Offers, and any question about price or negotiation.
- Questions about legal title, surveys or disputes.
- Tenants reporting repairs, which go to property management.
One number per office, or one per negotiator
Each WhatsApp number is its own account in Spaces. Some agencies connect the office number and let the agent book for everyone. Others connect each negotiator's number so buyers keep talking to the same person. Both work. Pick the one that matches how your buyers already message you.
The WhatsApp limits that matter here
| Limit | Spaces limit per WhatsApp account |
|---|---|
| Messages | Up to 200 a day |
| Gap between messages | At least 15 seconds |
| New conversations you start | 5 an hour, 10 a day |
Replies to people who message you are not held back by the warm-up, so customers get answers from the first day.
Set it up in an afternoon

- Write a note with viewing rules, the questions to ask buyers, and when to hand over.

FAQ
Can it follow up after a viewing?
Yes, with people who viewed through you and gave you their number. Keep follow-ups to one or two messages and let a negotiator take over when someone is interested.
What if a listing goes under offer?
Update the listings it reads from. It will then tell people the property is under offer and can suggest similar ones.
Can it message people from property portals?
Only people who gave you their number and expect to hear from you. It should never message lists of numbers.
